Phase 3 · Convert

CRM & Automation Systems

One place where every enquiry lands, gets followed up without anyone remembering to, and is tracked back to the spend that produced it. Built on GoHighLevel, HubSpot or Pipedrive.

The problem

The leads you've already paid for

An enquiry arrives at 6pm on a Friday and gets answered Monday afternoon. A form notification goes to an address nobody has opened since March. Someone calls, gets voicemail, and calls your competitor.

A good prospect gets one follow-up email, doesn’t reply because they were busy, and is never contacted again.

None of this appears in a marketing report. Traffic looks fine. Ad spend looks efficient. The leak is invisible from the outside, which is exactly why it survives for years.

And every lead lost here cost precisely the same to generate as the ones you closed.

A CRM isn’t a database of contacts. It’s the thing that makes follow-up happen whether or not anyone remembers.

The problem

Choosing the right platform

This is the question we get asked most, and the answer depends far more on your business than on which platform is “best”.

CRM platforms compared by typical cost, what each is best for and the trade-off.
Platform Typical cost Best for The trade-off
GoHighLevel £100–£130/mo Service businesses. Combines CRM, funnels, email, SMS, booking, call tracking and review requests in one subscription — replacing four or five separate tools at £40–£60 each. The interface is less polished than HubSpot’s, and it’s built for agencies and SMBs rather than enterprise sales teams.
HubSpot Free tierupward When you have a real sales team. Better reporting, better pipeline management, a much larger integration ecosystem, genuinely excellent if several people are working deals. Paid tiers get expensive quickly, and builds cost more because there’s more to configure — typically 30–50% above our published figures.
Pipedrive £15–£40/user When you want simple and cheap. Straightforward pipeline management, easy for a small team to actually adopt. It does less. Marketing automation, SMS and booking all need bolting on.
What we'd tell you honestly

If you’re a service business under twenty people doing your own marketing, GoHighLevel almost certainly wins on total cost and on how much it replaces. If you have a sales team of five with a manager wanting forecasts, HubSpot is worth the extra. If you just want a pipeline and nothing else, Pipedrive is cheaper than either and we’ll set it up without pretending you need more.

One thing that isn’t negotiable: whichever you choose, the subscription goes in your name, billed to you directly, at whatever the provider charges. We don’t mark it up and we don’t hold the account. If you leave, the system stays yours and keeps working.

Our process

How the work runs

Step 01

Free systems audit

We test your forms, trace where enquiries actually go, and find the leaks.

Step 02

Platform selection

Chosen on your team size, sales process and what you’re replacing.

Step 03

Pipeline & process mapping

How your sales process actually works, documented before anything gets automated.

Step 04

Build & integrate

Pipelines, forms, booking, sequences, call tracking and connections to existing tools.

Step 05

Training & handover

Sessions with your team, because a CRM nobody uses is worse than none.

Step 06

Ongoing management

Refinement, new automations and reporting as your process changes.

What's included

In every CRM build

Every channel captured

Forms, calls, chat, email and social enquiries in one pipeline.

Automated follow-up

Email and SMS sequences that run without anyone remembering to.

Call tracking

Because most service-business enquiries arrive by phone, not form.

Lead source attribution

Knowing which campaign, page or keyword produced each enquiry.

Booking and calendars

Prospects book themselves into your diary without the back-and-forth.

Review request automation

Requests sent after successful work, which feeds your local rankings.

Plain-English reporting

A pipeline view an owner can read without a training session.

Licence in your name

Your account, your data, billed to you directly at cost.

Who this is for

A CRM build probably fits if

Follow-up currently depends on someone remembering to do it

You can't say how many enquiries you got last month

Leads arrive by phone and nothing records them

You don't know which marketing produced your last client

Your CRM is really a spreadsheet, or an inbox

It probably isn’t right yet if you’re getting two enquiries a month. At that volume the bottleneck is demand, not handling — start with Grow and come back when the leak costs real money. We’d rather say that than sell you a system you don’t need.

Where this fits

Convert is phase three of four

This phase depends on phase one having built forms that can connect to something, and on phase two having produced enough demand to be worth capturing. Building a CRM before you know where leads come from produces a lot of automation nobody uses.

It’s also what makes phase four possible. An AI agent can only qualify a lead if that lead was captured properly, in a consistent format, in a system that’s actually organised. Automating a disorganised process just produces disorganisation faster.

Frequently asked

Usually GoHighLevel for service businesses, because it replaces four subscriptions with one. HubSpot when you have a real sales team, Pipedrive when you want simple and cheap.

No. The subscription is in your name and billed to you directly. Some agencies resell GHL sub-accounts, which means you can't leave without losing the system. We don't.
